Have a look at Group Schedules (on versions 2002, 2003 and 2007). These
show you what's on people's Calendars. You can set one up with your team on
it and have almost instant access anytime - no duplication, nothing missing,
no double handling.

You're already taking that I believe to be the best approach. You can buy
software to sync the individuals' calendars with the public folder
calendar, but absent that, it's a matter of discipline.
