Default Calendar colouring instead of showing status / appointment details

many thanks for that, you're spot on!!
one question though, can the permissions required to enable this be set from
server level, or does each user have to set this up manually?

Outlook will color appointments based on the Show time as setting - Busy
is blue, tentative has blue & diagonal lines, free doesn't show and out of
office is purple. If the people looking at your free/busy don't have
reviewer permission, they will only see colors. See and example at
