We run a community bus with 2 members sharing a physical bookings diary and
passing it back and forth. Is there any way they could use their desktops to
create a file/diary which they could both share/update. They are both online
and running vista home premium and microsoft office 2007.

Use Google Calendar. there's a utility called Google Calendar Sync that will
do exactly what you need.

You can also try program called Sync2. It can make your Outlook data
