Exchange/Outlook 2003 shared calender, auto-formatting/categories etc disappearing

One of my small customers uses SBS 2003. They have one user (owner)
that shares a calendar with custom views, categories, and automatic
formatting.

Three users have basically full access to that calendar. Initially
when the users were given permission to access, they could also use the

master categories, rules, and formatting as on the owners account.


Several times over the past couple of months or so, the users with
access have totally lost all the categories, rules, etc... I have
copied the registery data containing the categories and can easily
reimport, but the rules/formatting must be re-created manually.


SO, does anyone know why this is happening and is there a better way
still using SBS 2003/Oulook/Exchange 2003?

Where is this calendar folder located?

Categories are not folder-specific. THey are user-specific.

Rules have nothing to do with a calendar folder.

The calendar is located in the owners ExSvr mailbox. I have selected
to open that user's mailbox in addition to my own (I am acting as one
of the users here), in order to show their (owner's) calendar in the
"My Calendars" section of my calendar list. I was hoping that I could
then right click and open it to utilize the views created by the owner.

I'm confusing myself trying to explain this, I hope you're following
me. :o)


The users are expected to assist in the scheduling for their company
and therefore need to use the same views, custom formatting, etc... as
the owner.

Any views that other users should see on a shared folder must be new named views explicitly created with the scope "on this folder visible to everyone." Only the folder/mailbox owner can create such views.

I would suggest that you also use these options:

-- Choose View | Current View | Define Views. At the bottom of that dialog, check the box for "Only show views created for this folder."

-- On the folder's Properties dialog, on the Administration tab, select one of the views created for this folder as the Initial View on Folder.

Seriously, thank you for that information. I copied a few of the
owner's views and set them as you said and VIOLA! they were there in
the client's view of the calendar.
