Distribution List by Category
Please can anyone help me with an easy way to create a distribution list
based on contact categories or other contact field, the distribution list window only allows creation by the distribution list field |
Distribution List by Category
There is no easy way to do this because creating Categories obviates the
need for DL's. Why do you think you need to do this? -- Russ Valentine [MVP-Outlook] "Halibut68" wrote in message ... Distribution List by Category
If a Category obviates the need of a DL, let me ask:
How can i use any Contacts' category to send an email right from Outlook to every member of the given category? Display by category and then select the category - right click and drag to inbox.

Distribution List by Category
Russ, this is just the advice I needed. Thank you. I found this post after 2
hours of trying to figure out how to make a Distribution List from the Category field. I did a test run by selecting a category and sending a message as per your directions. I noticed the information from the "Display As" field (Firname Surname + Email Address string) showed in the To: field for all recipients, but after I checked the same message in my Sent box, only the Firname Surname was visible in the To: field, each was enclosed in quotes and separated by a semi colon, e.g. 'John Smith'; 'Mary Jones'; 'Tom Brown'; 'Ray Harp' . As I'd already included myself in the category, I received a copy of the email as well. This return copy didn't have the email addresses visible in the To: field either, only the names in quotes mentioned above. Does this sound right? I've been reading many posts in here of people wanting to be rid of the email address string in the To: field, but from my test, it only seems to be visible prior to sending the email. If this is right, then I'm happy with that. To print a hard copy of the email with all those emails addresses in the headers makes for a larger document. How Outlook configures the Email Display As field varies with each version.
Older versions will show only the familiar name. Current versions show both the familiar name and email address. In no case is the actual email address ever hidden, however. -- Russ Valentine [MVP-Outlook] "Lindy" wrote in message ... Russ, this is just the advice I needed. Thank you. I forgot to mention I'm using Outlook 2003. In my Contacts List, under
"Display As" field, it shows Firname Surname and Email Address in the string, e.g. Mary Jones ). This is the same format with all names in the "Display As" field in my Contact List. What I was meaning is that when I address a new post using the Category field as per your advice, that the Firname Surname and Email Address show in the To: field prior to my hitting Send. However, after I've sent the email and opened the copy in my Sent box, only the Firname Surname, e.g. 'Mary Jones' is showing in the To: field. The email address is not visible in the To: field of the Sent email, though I know it can be viewed by right-clicking on the name in the To: field and selecting Outlook Properties. Sorry to be dragging this out. I really only meant to thank you for your invaluable help with the many posts I've been exploring in this forum. I've cut & pasted so many of your hints, trying to teach myself the mysteries of Outlook. Yes. That's normal. Outlook is not at all consistent in how it displays the
EDA field in the Sent Items Folder. It seems to have more to do with the version in which the Contact Record was first created rather than the version in current use. -- Russ Valentine [MVP-Outlook] "Lindy" wrote in message ...
