Thanks Brian. I have Outlook 2003. How do I clear all the autofill, because I
do like the function, just want to reset it to clear the trash.. Before I came to this group (microsoft.public.outlook.contacts) and
searched for "autofill", I wondered for a long time why Outlook suggests old (often defunct) email addresses "while completing to, cc, and bcc fields." Now I've learned that if you want Outlook to complete addresses only for names that are in the address book (and in "contact folders that you've specified as Outlook address books") you have the following three options: 1) Repeatedly delete the file %AppData%\Microsoft\Outlook \yourprofile.NK2 (every time you get annoyed by defunct addresses). 2) Repeatedly delete defunct email addresses from the suggestion list (by arrowing down and pressing the delete key). 3) Turn off the option "Suggest names while completing to, cc, and bcc fields." I can only tolerate the third option. On my system (Outlook 2002 on WinXP), it's found in a checkbox under "Tools, options, preferences, e- mail options, advanced e-mail options, when sending a message." Here's my little complaint about Outlook help. Before coming here, probably like a lot of people, I searched Outlook help for "autofill" and found nothing. Then, thanks to another thread in this group, I learned that I had to search for "auto resolve" (not "auto-resolve," which found nothing). Only then did I find the article "About checking recipient names before sending a message". Unfortunately, it only mentioned suggestions from the Outlook address books--not from formerly-used email addresses. Somehow I found more information in Outlook help, but nothing about formerly-used email addresses. For that information, I had to search this group. Somehow, I found the Outlook help article "Turn off automatic name checking and completion." It describes how you can control the two email-address "autofill" features of Outlook. You follow the menu path "Tools, options, preferences, e-mail options, advanced e-mail options, when sending a message" and locate two checkboxes: 1) "automatic name checking", and 2) "suggest names while completing to, cc, and bcc fields." If you turn off "automatic name checking" with the first checkbox, you can manually trigger it by clicking the "Check Names" button on the message toolbar (of an outgoing-message window). This option only seems to check the address book (after you tab out of the "to, cc, or bcc field"), so I've left it on. If you turn off "suggest names while completing to, cc, and bcc fields" with the second checkbox, Outlook no longer suggests formerly- used (often defunct) email addresses; only those that are in the address books. I've turned this option off. |

Was there something new you wanted to tell us? We have taken great efforts
to document all this information in this group many times. -- Russ Valentine [MVP-Outlook] wrote in message ...
