Default Unable to accept appointments

In our company we accept appoints sent from other companies. On occasions we
are unable to accept them as the 'Accept' or 'Decline' button is greyed out.
I have tested whether this is due to requesting appointments as basic text
but this does not affect the appointment request.

has anyone had a similar experience and have an idea of what might be
causing this.

Thanks in advance
