Default Syncing/Sending Events by e-mail and future editing.

I have recently (3 days back) started using outlook 2003 for e-mail and
calendar purposes.

The first problem is not discussed in the subject. i seem to be receiving
all e-mails to all accounts twice. its probably a silly features somewhere
i've clicked whilst looking through the options.

my MAIN issue is on the calendar side of things.

I own a PA hire company and hire stage/sound/lighting crew for each of the
events i work with. I have a selection of crew working for me and the
workload is split between them. Some jobs require 2 some 3 some 5 or 6 etc.
I wish to syncronize a calendar with all of the crew but some of the
advanced features i am struggling with.

the process is as follows :

An event is confirmed by me for a set date/time and basica information is
given to me at this time.
I add the event to my calendar and click 'invite attendees' i then pick
suitable crew for the job and send this event we'll call this list A. The
crew i select will either click accept if they are available to do the job
or decline if they are not. I will then edit the form to include the crew i
have picked (from those that are available) at the bottom list b. i then
send this back out to list A the people i chose in the first place for
reference.
I've only used this testing purposes but everything up to this point works
fine!

As i am usually out working myself i often do not have time to contact
venue's and acts for more specific details. So i appoint one of the people
in the list to do this for me.
The details they get (for reference this can be venue opening time, power
supply, any restrictions etc) need to be added to this event and sent back
to the group. List B preferably although its not a major issue if it has to
go to List A.
For some reason i cannot seem to get this to work. The other person can edit
their own calendar but cannot then send it back to the group.


Is there a way of doing this? if so how?

the idea is then to sync the calendar with my phone via bluetooth to auto
update every hour or so whenever i'm in range. this is not a problem at the
moment. everything seems to work fine with this.
