As a delegate to two managers, I am sometimes tasked to copy the appointments
for a given week between the calendars. I can create appointments in both. This usually occurs due to unexpected higher level responsibilities where the alternate supervisor is filling in for the primary. If I try to drag the meeting/appointment from one calendar to the other, I am told that the function cannot be performed and I should copy the item to place it in the receiving calendar. However, I have found no way to do this short of retyping the details into the time slot of the calendar needing to be updated. Is there a copy function I'm not locating? Right clicking or "Edit", "Copy" do not appear to be available. |

I just need to know a few things to be able to help you as we cannot see
what you are doing: What version are you running? Are all users on the same version? How exactly are you trying to copy from one Calendar to the other and what exactly happens when you try? Office 2003
Yes, I am reasonably certain we are all in the same version. I have tried to display both calendar days and "drag & drop" the appointment. This is when I get the message, "Can't move the items. You cannot move one occurrence of an appointmen series to a different folder. To move a recurring appointment, you must move the original appointment or copy the single occurrence and move the copy". Since, a) I have no knowledge of the "original occurrence" and b)don't really want to MOVE anything, I have then tried to select the appointment in question and right click. Copy is not available as an option. I have opened the appointment and "Select All", and "Copy", but opening a new appointment in the other calendar will give me "paste" but nothing shows. I'm sure it's something simple I am missing! Sheesh! Found it.
Select Appointment, go to "Edit" and select "Copy", then move to the appropriate other calendar and (making sure you are in the right time slot) go to "Edit" and select "Paste". OR Select the Appointment and hold down the "CTRL" key while dragging which will "Copy" the appointment across. Again the key is to make sure you drop it in the correct time slot as the time will change to accomodate where you put it, it won't retain the original time information. Thanks for helping me think it through. |

Glad you worked out a way to do it.
I would use the right mouse button to drag it to the destination Calendar, release and select Copy. There are many great functions under your right mouse finger! Nope, that was the original plan. Right click did not offer "copy", and
simply selecting and dragging was what gave me the error message telling me I couldn't move it and HAD to copy it. It would then pop back to the original calendar which is what prompted me to ask the question in the first place. "Judy Gleeson (MVP Outlook)" wrote: Glad you worked out a way to do it. I did not say right click. DRAG with the right mouse button has worked in
every version of Outlook. When you release you can select from Move or Copy. Regards Judy Gleeson MVP Outlook www.judygleeson.com www.deskdoctors.com Want to be more productive? Outlook 2003 user?
