We use Outlook 2003 and Exchange 2003. At present we have a number of
interview rooms we prebook using the outlook/exchange calendar. We
would like to record periods when an interviewer is available and
match it with interview rooms free. Can this be done using
Outlook/exchange?

I am not sure what you mean by "record periods". Outlook/Exchange can show
you when both the room and the person are available. It can even Autopick
the next available timeslot that they are all available.

Try making a meeting request and add the person and a few of the rooms -
then click the autopick button (all people, one resource). I think it's
bottom left corner of the meeting request screen in 2003.

Another function you may like is the Group Schedules. You can make one of
all the rooms and all the people and quickly see availability.

We are an advice centre for those in debt. We have a number of
interview rooms which are a permanent resource. The advisers are
trained volunteers who are not always available. The idea is to have
the adviser record periods when they are available to give advice and
match this to a free interview room. I use seven calendars to
represent the interview rooms and the receptionist books a period in
these for a client.

What we need is the ability to record the available advisers and times
available up to a week ahead as we do for the rooms then select from a
list, an available adviser for any room. Being volunteers each is only
available for an advice session at times suitable for them so some may
be available for several hours one day a week while others may only be
available for an hour or so every day.

I can't work out if this is possible in outlook/exchange or how to put
the advisers onto the system. They are not all in the active directory
or contacts. Would I have to put all of them on active directory?

I will have a look at all of that but it is still beyond my current
knowledge of how it works

Yes, the volunteers would need to be in the Active Directory and have a
mailbox. Or - if you don't have too many to manage (maybe less than 5), you
could create 1 mailbox in the AD for all volunteers and color code their
availability. But I think it would be easier to give each their own mailbox,
especially if you have many. They could access it via OWA and mark their
calendars when they are *not* available - then the autopicker will pick the
free times. You'd create the meeting requests and it would be placed on
their calendar.
