Default Contact Notes & Importing

Hello,

We sell world class tea to tea lovers around the country. We use Outlook
2000 Contacts for housing data about our tea lovers. This process has been
in place for 3 years and works well. We provide a very personalized service
thus keeping "notes" about orders and conversations. The Contact Notes
section is great for us -- it shows up along with the other important info of
name, address, email, phone.

The Notes section within Contacts is used to store the date and type of
order -- or -- any info applicable. For example:
2/17/10 -- online order
2/10/10 -- phone order
1/10/10 -- amzn order

We are trying to import data from our Amazon Store to our Outlook 2000
Contacts. The import process works well most of the time. (We were manually
entering each Amazon Order contact info into our Outlook --- now too many
orders to do this approach).

We need advice/help how to correct the following situations that are not
importing correctly:
When a customer orders again -- we already have a contact page in outlook.
We want to "add" to that contact page. We do not want to have a second one.
We do not want to have a duplicate one. We do not want to override prior
data. We need to "add" to the "NOTES" section while keeping the previous
"NOTES" info in place.

You may find one of the ContactGenie import/export products of interest
(QuickPort or DataPort 3.0). Both include the following capabilities you
mentioned

#1 - Update pre-existing contacts
#2 - Body field (Notes) options include "Replace", "Append Before", or
"Append After" with or without a Date stamp

Are you asking if there's a character limit within the Outlook UI? If so -
never tested that so have no idea what the upper limit for it is internally
or what things affect the capacity of the field. As far as ContactGenie
goes, data is moved within the certain constraints and in the case of the
Body field for example - the max checked for is 64K when exporting, the
limit of a MS Access memo field regardless of the actual size of the field
in terms of characters.
