Hello,
I have a few users in my office with a similar issue. There contacts are in
the right place for us. When you hit the To: button within an email it pulls
up the right contact list. Here is the problem. If a contact has one email
address, one fax number and one buisness number, it shows that contact three
times in the contact window. If you click on the wrong contact for that
person you could send the email to a fax which of course bounces back or
Outlook warns that the email has an invalid email address. So how do you set
up the contacts to display only the email address of a contact.

Answer posted here countless times. Never be afraid to search the group
before posting.
Outlook considers fax numbers to be valid electronic addresses, since there
are many client- and server-based components that can use such addresses.

One method to hide fax numbers from the address book is to prefix the fax
number with one or more letters (maybe B for business fax, H for home, O for
other). If the fax number begins with a letter, Outlook won't show it in the
address book.

There are a couple of utilities that can help you hide fax numbers from the
address book. See:

Another way to avoid having fax numbers appear in the address book is
simply not to enter data in the fax fields. Put fax numbers in some other
(non-phone) fields.
