Is there a way I can create a task and assign it to all contacts in a
particular category, and it will show in each of their activities list, but only once on the to do list? |

Yes. That's not too hard.
Group the Contacts By Category and drag that group (grab and drag) to the Tasks folder. This will Assign A Task to all of them. I hope this helps you at least a little bit! Thanks for the reply Judy. I tried this but it creates all the contacts in
the 'send' field, like I am assigning a task to them. I am creating a task for myself to do for this group, not sending. Any thoughts? "Judy Gleeson (MVP Outlook)" wrote: Yes. That's not too hard. Sorry but you clearly said you want to assign it to all the contacts in that
category. Try to describe what you actually want to do and maybe we can find you a way to do that. -- Judy Gleeson MVP Outlook Trainer and Consultant read my articles he www.judygleeson.com Canberra, Australia how to post questions: http://support.microsoft.com/?id=555375 "GolfGal" wrote in message ... That is exactly what I want to do. Let's say I want to create a task call
everyone in a certain category, and there are 25 contacts in that category. To create a task, then click on contacts, and select these 25 from a list of hundreds is hugely time consuming, esp since when you click the contacts window, there is no way of sorting by category. I was looking for a way to create a task, eg. to call, for a large number of people without using the 'contacts' button and individually selecting each. As I said, dragging them works somewhat, but it creates a task to assigned to these people, not a task for me to complete for these people. Thanks in advance. The term "assign" means that the recipient becomes the owner of the Task.
So please stop using it. It is NOT exactly what you want to do. Others reading this post need to also understand that. You are NOT trying to Assign Tasks to Contacts. You are trying to link tasks to contacts. That function uses the Contacts button, bottom left corner within a Task. Assigning uses the Assign button at the top menu of a Task. They create very different outcomes. To do what you want I would create a Task with the Subject: Call All Category X customers. Then when I want to do the Task, I would go to the Contacts Folder, View it grouped By Category. And ring them all. Write notes in the white space and then you'll be able to see which ones you have been able to get through to and which ones you still need to try. You can show the Notes field in the By Category View as well - just drag it from the Field Chooser and place it beside the existing fields. (turn on the Advanced Toolbar to find the Field Chooser) The notes are a great place for running notes of conversation.
